A guide: How do rooms work?

    1. What are rooms?
    With rooms you can participate in internal chat conversations with your colleagues. Rooms help you to communicate within your company and give you the possibility to discuss common topics with colleagues within e.g. the same department or a project group.


    2. Create a new room – here's how to proceed!

    To create a new room, click on the plus sign to the right of Rooms. The popup window Create a room appears.

    Name:
    Give the room a name.

    Description:
    In the Description field you can enter a short description about why this room exists and the topics that you should discuss here.

    Invite agents/Invite groups:
    In the Invite agents list you choose the colleagues that you want to add to the room. You can also add a whole group below Invite groups.

    Create room:
    Create and save your new room by clicking Create Room.

    3. Functions inside a room

    1. Update the room's name
    If you want to give the room a new name, you can click the room's current name, enter a new name and then click [Enter].

    2. Make sticky – make the room a favourite/shortcut
    Click the star to make the room a favourite/shortcut. The room will then be placed in the panel to the left of the client, and by using the shortcut you can always, no matter where you are in the client, easily open up and chat with your colleagues in the room.

    3. Update the room's name and description
    If you want to give the room a new name, you can click the room's current name, enter a new name and then click [Enter]. If you want to edit the description, you do the same – click the current description, enter a new one and save by clicking [Enter].

    4. Mute room – turn off notifications for the room
    Click Mute room if you want to turn off notifications and sounds for the specific room you're in. In the list with all rooms, it will look as below when you've turned off the notifications – the icon means that notifications are turned off. The room will also be placed in the bottom of the Rooms list.

    5. Hide room
    You can easily hide a room by clicking the eye/Hide room. You will then find the room by clicking Show hidden rooms at the very bottom of the Rooms list.

    6. Leave room
    If you don't want to be a part of a room any longer, you can leave the room by clicking the arrow/Leave room

    7. Pin message – mark a message as extra important
    Move the mouse cursor over the message you want to pin. The message field becomes grey and a box appears in the upper corner of the grey field. You click the needle icon/Pin to pin the message.

    The message that you've recently pinned, turns light yellow.

    You also see message(s) that you've pinned in the Details field to the right. By clicking the pinned message in this view, below Pinned messages, you will be navigated to the original message.

    Be aware of that when you pin a message, you pin it for every member in the room. 

    8. Add reaction – react to a message
    If you want to react to a message, you move the mouse cursor over the message, click the smiley/Add reaction and choose the emoji that you want to react with. Just below the message, you then see that it has received one or more reactions.

    9. Members
    Below Members you see which of your colleagues are in the room. Here, if you click + Add member, you can also add more members. All messages that are sent in the room can be seen of all members in the room – also members who are added afterwards can see previous messages.

    10. Files
    See the latest files that have been sent within the room.

    11. Images
    See the latest images that have been sent within the room. 

    12. The emojis library – send emojis in the room! 😃
    Click the emoji icon or use the shortcut Cmd + J / Ctrl + J, to open up the emojis library and send emojis and smileys to your colleagues.

    13. Mention – mention a colleague in a message
    Click the @ icon/Mention to open up the list with colleagues that you're able to mention, choose the colleague you want to mention and click [Enter]. You can also enter an @ directly in the message field and choose a colleague in the list.

    The colleague you mention, will then see an @ next to the circle that shows that there are unread messages in the room:

    14. Upload file – send files in the room
    Click the little paperclip/Upload file to choose one or several files (images, videos, documents etc.) that you want to send to your colleagues. You can also use the drag'n'drop function to add files from your desk to the client.

    15. Send GIFs in the room
    Click the littly GIF icon/Search gif to open up the window where you can search, choose and send GIFs. In the example below we search for "dance", choose "Happy Fresh Prince GIF by N..." and then send the GIF by clicking Send giphy

    16. Create poll
    With polls, you can let your colleagues vote on e.g. where to order coffee or what day you want to be in the office. Read more about how you create polls here: How do I create a poll in a room?

    4. How to leave or delete a room
    If you want to delete a room, you can remove all agents, one by one, from the room by clicking the cross next to the agents' names below Members.

    You can leave a room yourself by clicking the arrow icon/Leave room in the Details field to the right in the room:
